Cataloguing your work   
 

Setting up a record for each piece of work involves completing as much, or as little, information on the stock record form as you wish. Each form is divided into multiple pages as shown by the tab headings at the top of the screen The information you provide acts both as a permanent record of the piece and enables Artlook to locate specific records or groups of records based on particular values.

A drop down arrow beside a field indicates that a list of relevant values for the field is available - you have total control over these lists and can modify them at any time.

Multiple references or stock codes can be entered and used in searches - important if the work is held by a gallery who use their own numbering system.

Attaching an image is as simple as finding a previously saved .jpg or .bmp image on your computer. Use the More button to attach additional images for the piece. Double clicking on the image enlarges the view to full screen.

Where a field label is shown in blue it indicates that it can be changed from the default to a wording that better suits your style of working.

 

 

Artlook will convert automatically between centimetres and inches and as well as accepting details for height, width and depth, allows you to edit the way dimensions are displayed in the As Text field. If you are dealing with prints you can additionally record the plate size.

All of your financial records for the piece are automatically recorded to give you a complete overview of income and expenses, together with overall profit margins for a sale

These examples are just some some of the ways Artlook helps you track information at every level. Additionally you can record the provenance, exhibition history, literature references for the piece; offers made to you or by you regarding the piece; the current location of the piece ... and much more. Many fields are "rich text" which means that for larger items of information (for instance the Description of a piece) you can easily cut and paste from existing documents.

All the information you enter can be used to locate specific records or to create filtered "views" of particular sets of records.

 

When it comes to managing your work within Artlook, you can display the records in many different ways, either with the attaching images or without. Work can be sorted on screen or you can restrict the "View" of items very specifically. You may want to see just items which are Available ... or just items which are Sold and which which were in the medium of "watercolour" .... or just the items which were created between 1989 and 2000 and which were bought by a particular client or gallery. The choice is yours and you can use as many different "criteria" as you wish. Creating these "views" or searching for specific records is fast and very straightforward - if they are frequently used they can stored for future use as shown by the lists under "Inventory" in the screen shot.

Double clicking on a record brings up the full details for you to review or edit and using the right click - print option you can instantly generate an information sheet, price list, shipping label and much more.
